Job Title: Admin Executive cum Secretary
Location: Mumbai
Main Responsibilities:
Secretarial:
•Arrange and coordinate meetings/conferences in liaison with the Meeting and Events Planning team when applicable. Handle routine and non-routine logistics (e.g. contact meeting participants and coordinate responses, compose meeting materials and follow-up correspondence with input and review by Executive).
•Follow up on action items and report status to Executives/meeting attendees
•Anticipate travel needs of executive and independently coordinate complex travel arrangements, typically involving multiple changes and destinations based on understanding of executive’s availability
•Arrange conference calls, video conferences or data conferences occasionally involving a global audience
•Develop relationships with executives’ clients
•Provide telephone support (i.e. answer calls promptly and courteously). Act as executives’ representative to independently handle calls
•Maintain voicemail and email distribution lists
Administrative activities:
•Assisting in drafting and typing letters.
•Organizing/Maintaining/handling and filing all internal and external correspondence.
•Assisting in preparing reports. Attending all incoming calls.
•Handling stationery requisition, printing, binding and general support. Any other
duties as assigned from time to time.
•Monitoring the entire Admin and facilities team.
•Monitoring travel claims
•Co-ordination of activities of different sections.
•Assessing the works requirements and maintenance of fixtures & buildings.
•Liaison with external agencies etc.
•Co-ordination of Administrative activities with various department for the smooth function of the 24/7 Operations.
EDUCATION / EXPERIENCE
Education Any graduate
Work Experience 1yr
Required Skills •Excellent verbal , written and interpersonal communication Skills
•Good knowledge of Ms-Office (Excel, Powerpoint)
